Who we are
Hana Valley provides commercial and domestic cleaning services in Kent. We are the data controller for personal information collected through this website. You can reach us at hanavalleycleaning@gmail.com or 07356 278503.
What we collect
When you submit the enquiry form we collect only what you type into it: your name, your email address, your phone number if you choose to give one, the area you are in, the type of premises, and anything you write in the message field. We do not ask for and do not want payment details or any special category data.
Our web host records standard server information such as IP addresses as part of running the site securely. We also briefly hold your IP address in memory to limit repeated form submissions; it is not stored on disk and is discarded when the server restarts.
Cookies and tracking
This website sets no cookies. There is no analytics, no advertising pixel and no third-party tracking. Our typefaces are served from our own domain rather than an external font service, so simply reading these pages does not report your visit to anyone else.
Why we use your information, and our lawful basis
- To reply to your enquiry and arrange a walk-round. Our lawful basis is that processing is necessary to take steps at your request before entering into a contract.
- To prepare and send you a quotation. Same basis as above.
- To keep our site secure and prevent spam. Our lawful basis is our legitimate interest in protecting the site from abuse.
We do not use your details for marketing unless you separately ask us to, and we never sell or share them for anyone else's marketing.
Who else handles it
We use a small number of service providers to run the site and receive your enquiry:
- Resend — delivers the enquiry email to us. Your submission passes through their systems, which are outside the UK, so the transfer relies on the safeguards in their data processing terms.
- Google (Gmail) — our email inbox, where your enquiry arrives and is stored.
- Our web host — serves these pages and processes the form submission.
How long we keep it
If your enquiry does not become work, we keep it for up to 12 months in case you come back to us, then delete it. If you become a client, we keep the correspondence for as long as we work together and for six years afterwards, which is the period we may need it for tax and legal purposes.
Your rights
Under UK data protection law you can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, and object to our using it where we rely on legitimate interests. Email hanavalleycleaning@gmail.com and we will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Changes
If we change how we handle personal information we will update this page and the date at the top of it.
